Private Room Terms and Conditions
Reservations
Reservations allow you to guarantee a table or private room for your group before you arrive at Gouda Games.
Reservations are priced by space rather than by person. Your reservation includes Gouda Games Game Pass admission for up to the number of guests listed with that space.
Standard reservations are for 3 hours unless otherwise stated.
Additional guests may be added upon arrival for $15 per person, as long as the reserved space can safely accommodate them.
Reservations must be made online.
The person making the reservation must be at least 18 years old.
Guests under 16 must follow Gouda Games supervision policies and be accompanied by an appropriate adult when required.
Table Reservations
A table reservation guarantees the selected table for your group during your reservation period.
Table reservations do not include exclusive use of the room or surrounding area unless you have specifically reserved the entire room.
Other guests may be using nearby tables or seating areas.
Your reservation includes Game Pass admission for up to the listed capacity of your reserved table.
Private Room Reservations
A private room reservation gives your group exclusive use of the selected room during your reservation period.
Room reservations include Game Pass admission for up to the listed capacity of the room.
Each room has its own capacity, layout, features, and pricing. Please review the individual room description before booking.
Furniture and table arrangements may vary depending on the room and the needs of your group.
The Loft
The Loft is located upstairs and requires the use of stairs.
If a guest needs a ground floor accommodation, please contact Gouda Games at least 24 hours before your reservation. When possible, we can arrange for Loft tables to be placed on the ground floor.
The Loft is an adult gaming area and may contain multiple groups playing at the same time unless the entire Loft has been privately reserved.
Payment
Payment is required online to secure your reservation.
Your reservation payment includes the space and Game Pass admission for the number of guests included with that reservation.
Additional guests added upon arrival are $15 per person, subject to the capacity of the reserved space.
A reservation is not considered confirmed until payment has been successfully completed and you receive your confirmation.
Arrival and Check In
When you arrive, please check in with a Gouda Games team member before going to your reserved space.
We recommend arriving about 10 minutes before your reservation begins.
Your reservation time begins at the scheduled time, even if your group arrives late.
We will hold your reservation for 30 minutes after the scheduled start time. After that time, the space may be released unless you have contacted us.
Time missed because of a late arrival cannot be added to the end of the reservation.
Reservation Time
Please be mindful of your scheduled ending time so we can prepare the space for the next group.
If you would like additional time and the space is still available, please speak with a Gouda Games team member before your reservation ends.
Additional time is subject to availability and additional charges.
Cancellations
If you need to cancel or change your reservation, please contact Gouda Games as soon as possible.
Reservations canceled by Gouda Games because of an unexpected closure, facility issue, severe weather, or another circumstance that prevents us from honoring the reservation will receive a refund of the reservation payment.
Gouda Games reserves the right to refuse or cancel a reservation when necessary. If Gouda Games cancels a reservation before the reservation begins, the reservation payment will be refunded.
Cleaning and Condition of the Space
Please leave your reserved table or room in approximately the same condition in which you found it.
Normal cleanup is included.
Additional cleaning charges may apply for excessive messes, spills that are not reported, stains, food left behind, or other cleaning beyond normal use.
If something spills or is damaged, please tell a Gouda Games team member right away. We would much rather know immediately so we can take care of it.
Guests may be responsible for the cost of repairing or replacing property damaged during their reservation.
Decorations
Simple decorations are welcome in private rooms.
Decorations may be placed on tables and other approved surfaces.
Please do not attach anything to painted walls, artwork, murals, fixtures, or furniture without permission.
No glitter, confetti, open flames, candles, or anything that may damage the facility or create excessive cleanup is permitted.
If you are planning decorations for a birthday, shower, meeting, or special gathering, please contact us in advance.
Food and Drinks
Food and beverage rules are based on Gouda Games current food policy.
If you are bringing a cake, dessert, catered food, or another special food item for a private gathering, please contact us before your reservation so we can confirm what is permitted.
Guests are responsible for bringing any serving supplies needed for outside celebratory food unless arrangements have been made with Gouda Games.
Outside alcohol is not permitted.
Games and Equipment
Your reservation includes access to the Gouda Games game library during your reservation.
Please return games and game components in good condition when you are finished.
Guests are responsible for any special equipment issued to their group during a reservation.
Charges may apply for equipment, games, or components that are lost or damaged.
Respecting Other Guests
Even when you reserve a table or room, Gouda Games remains a shared community space.
Please keep music, games, conversations, and other activities at a reasonable volume.
Content and activities must remain appropriate for the area of Gouda Games being used.
Threatening behavior, harassment, intentional property damage, illegal activity, underage drinking, drug use, or behavior that creates an unsafe environment may result in the immediate end of the reservation without a refund.
